Email Marketing FAQ
Here are a few questions generally asked by our email marketing clients:
How long does it take before I can send out my first emails?
Your campaign can be setup and sent within a day once all materials and lists are inputted into the email marketing system.
What happens when I go over the number of emails I have paid for in my contract?
If you go over your total email limit for the month you will not be able to send any more emails unless you upgrade to the next level of emails. For example if you have more than 1000 emails to send out in a month but you are only on the 1000 emails level campaign then you will need to upgrade. To upgrade please contact us. . Should your list size only marginally exceed the maximum size for a few days in each month, no increase in your payments is necessary.
What software do I need to view my stats?
You do not require anything other than a web browser. C4CMedia’s email marketing service will work in Internet Explorer 4 and above as well as all other browsers such as Mozilla Firefox
Can I upload my existing email list to C4CMedia?
We can easily import an existing email list into our system without having to retype it. If your data is in a text file or Excel/CSV format, we can directly upload the data into our email marketing system. Once your initial list is loaded, new email addresses can be captured directly on your web site through an interface, for which we can provide you with the code for your website. This data capture interface will permit your customers to subscribe to your newsletter directly from your web site.
Can I easily find subscribers in my lists by doing a search?
C4CMedia’s email marketing control panel has a search application that allows you to search through your database of subscribers using any of your fields, search new subscribers and perform keyword searches. Search results can be saved, sorted and exported.
Can I have 'Double Opt-In' as a higher level of security?
C4CMedia can enable double opt-in protocols on your account. Double opt-in means subscribers must respond to an email sent out at the time of initial subscription before you can begin sending them campaigns. This is the industry recognised standard for collecting email addresses and represents good practice.
Do I need a web site to use C4CMedia Email Marketing Services?
A web site is not essential to run an email marketing campaign, but it is beneficial to have one. This will allow the full range of features that C4CMedia offers in its system such as the ability to create newsletter sign-up forms on your website which populate your email database. Furthermore to use C4CMedia’s email marketing services a valid email address is required. Email campaigns will not be sent out unless they have a valid from address.
How easy is it to create my own email templates?
HTML and Email Client compatibility knowledge is required to create a successful HTML email template. It is strongly recommended that you ask a web designer with experience of HTML email creation to make your template. C4CMedia can create HTML templates with a full compatibility report showing the email in the main email programs. Please contact us for more details.
Can I send graphic rich emails?
Yes you can and you can feature as many images as you like in your emails. However please remember that the more images you include the slower it is for clients to download the email. Further some people will not be able to display your images.
Can I include my logo in my emails?
Yes, your logo can be included in your email. Simply send the logo with the rest of your email details.
How many emails can I send?
As many as you have purchased. Please see our pricing plan for more details.
Can I send attachments?
Yes, you can include an attachment with every email you send. We would recommend that you keep attachments very small (under 100k) to avoid long downloads for your subscribers.
What happens if you think I am spamming people?
Our system is intended to be a subscription-based, permission email tool. This means the people that your email is being sent to must have specifically requested to be on your list. We do not authorise, nor will we tolerate, the use of C4CMedia for the sending of “spam” (large quantities of unsolicited email). Any violation of our anti-spam policy or terms and conditions will result in termination of service.
Can I obtain custom email templates?
Yes for an additional fee, we can create a customized template that is personalized to your business and fits to your specifications, we can then upload this to your C4CMedia account. Please contact us for more details or visit here
Are my lists secure?
Absolutely. We fully understand the importance of maintaining the total security of all your data. To make sure of this we have taken many measures to keep your information secure from hackers, other customers and other systems. Our database is secured behind a firewall and all data is backed up on a daily basis. All information is completely secured.
Can I have more than one list?
Yes you can. C4CMedia let you set up as many lists as you want and sub divide lists up further in to categories or ‘interests’. Subscribers can then belong to (or be subscribed to) as many lists as you want.
Can I export data back out of C4CMedia?
Data from any of your lists can be exported from C4CMedia whenever required.
Can I personalise the emails C4CMedia send out?
Yes, you can take any of the fields you set up in your subscriber lists (such as FirstName, LastName, Postcode, Salutation, etc.) and include these anywhere in your email templates. Simply click where you want the field to go then select which field from the email control panel. Research shows that customised emails have a higher rate of success.
What happens to emails that bounce back?
Our mailservers will make repeated attempts to deliver your emails. If for whatever reason an email is returned (because the address was wrong, their mailbox was full or their server was down) it will be returned to C4CMedia which will mark the return to the subscribers details in the database. Further emails will no longer be sent to this address.
Can I remove the "Powered by C4CMedia" link at the bottom of emails?
This is removed only if you are a contract client. Pay As You Go customers can not remove this field.
Can I remove the "Unsubscribe" link at the bottom of emails?
This cannot be removed for legal reasons. To avoid accusations of spamming and to meet various local, national and international laws, you MUST make it clear and easy for subscribers to see the data you hold about them and remove themselves from your lists. Should they unsubscribe from your list, you will no longer be able to send them an email, but their details will remain in the database which you can remove or export.
What happens if my subscribers can't receive HTML emails?
Some email programs which are older cant receive HTML emails, for example older versions of AOL cant receive HTML graphics. To get around this problem C4CMedia allow you to send either a joint rich text email with the choice to view it as plain text or alternatively you can stipulate whether you just want to send a plain text email or a rich text one. Our system also uses specialized sensing technology that lets us send the mail in the best format a customer can receive. If your customer cannot view HTML email, your email newsletter is converted to an easy-to-read text format that is still quite impressive. Your customers can also sign up on your web site and indicate if they want either HTML or plain text newsletters. In either case, your customer receives exactly the same information regardless of the format.
Can I preview campaigns before they are sent?
Yes, we can preview your email in your browser or send test copies of your campaign to you before commencing.
